The
following information clearly states the responsibilities of the host
team in order to prevent misunderstandings. If there are any questions,
please feel free to contact the Association office.
Facility
Requirements
Each division determines its own parameters for minimum
pool depth, width, and length,
and these parameters may vary dependent on the type of tournament (regular
season versus
championships). Teams will not be awarded a tournament unless their pool
meets the
minimum requirements.
Hourly Requirements
A range of 12 to 30 hours
of pool time must be available, dependent upon number of teams in
the region or division. A pool reservation
form must be completed and turned into the CWPA
office indicating the hours available.
Medical Staff
Varsity
hosts must have a trainer available during the event. Club teams are urged
to do so as
well, but are not bound by this requirement. However, access to emergency
medical care must
be available at all times.
Equipment (required
per pool)
One pair of
regulation goals (either floating or stationary).Four chairs
and one table for desk
officials. Official's table must be covered with a tablecloth.If
the institution is choosing to sell
apparel and tickets, one additional table with tablecloth should be set
up by the entrance.
Preferred Equipment:
Shot clocks, game clock, and scoreboard. If these are unavailable, stopwatches
may be used
instead of shot clocks and game clocks. A flip chart may be used for scoring.
Teams
purchasing equipment should patronize CWPA sponsors for the best deal
and their continued
support.
Personnel Required
Individuals needed to set
up the pool at least one hour prior to the first game. Three table
people must be scheduled for every game to staff the official's desk as
a scorer, 35-second
timer, and game timer. If desired, one individual should be scheduled to
sell tickets and
apparel. Individuals at the official's desk should wear white
shirts. Teams must ensure that
their personnel are well trained. A copy of the Desk
Training Manual is available on the web
site. Teams failing to provide competent personnel may be penalized by losing
their next
opportunity to host a tournament.
Housing Requirements
The CWPA office will handle
housing for referees and teams.
Tournament Expenses
The host is responsible for
all pool rental costs.
Scoresheets
The CWPA provides enough scoresheets to cover all of the games. They
are sent at the
beginning of the season to every tournament host. The scoresheets are
printed in triplicate.
The white copy is sent back to the office the day after the games conclude
and after the
scores are reported by email. The CWPA has made Auto Score Reports available
for teams
to use when reporting scores. It can be downloaded by clicking
here. The pink and yellow
copies are to be given to the coaches. In an emergency a downloadable
scoresheet is
available by clicking here.
Ticket & Apparel Sales
The host team may raise money
by selling food, refreshments, and apparel that bears their
team's logo. At no time may teams sell
any apparel that bears specific reference to the
Collegiate Water Polo Association, nor may they use any pictures or original
designs
generated by the CWPA without expressed permission from the CWPA office. If in doubt,
contact the CWPA office before you act.Teams may request inventory
before the tournament
begins to sell on consignment. Host teams are responsible for the inventory
and should count it
immediately upon arrival. Should it be damaged, lost, or stolen, the host
team will be required to
pay for the inventory. Following
the completion of the tournament, the host team should count the inventory, verifying the amount
sold. Return all unsold inventory, tickets, and money. Teams will
receive a rebate check once the inventory is returned and processed. Do
not deduct the rebate
from the cash returned.The host team receives $2 for every
item of apparel sold at the tournament
site and 50% of the gate. Since the CWPA will sell the remaining inventory
at other tournaments,
it is imperative that host teams return the unsold merchandise immediately.
Teams failing to ship
the unsold inventory immediately after the tournament will forfeit their
rebate.
Admission fees will be split
with the host team, 50/50. Host teams may permit their staff and
student body to attend for free, but all others must be charged admission.
Advertising
The CWPA prints a program each year that allows for advertising space
to be sold to local
businesses. If a team has an individual willing to sell advertising space,
the team can profit by
earning a percentage of the income. Information regarding this process
is included in the
advertising section of this web site. Teams receive 50% of the rates
listed.
Promotion
Host teams are expected to do some promoting to foster local fan support
for the games. An
easy way to accomplish this is to print a flyer that can be distributed
throughout the area,
spotlighting your team's games.
Championship Duties
Varsity teams hosting Eastern championships must tabulate ballots for
all-Tournament teams
and distribute awards prior to the end of the weekend. Ballots
and procedures are available
on this web site. Awards for these events will be shipped to the host.
Pool Reservation Form
Every institution hosting
a league event must complete the Pool Reservation
Form and return
it to the office.
Sportsmanship Statement
All tournament hosts must provide a written copy of this statement to
spectators entering their
facility. If using a PA system, the announcer must also read this statement
before every contest.
The CWPA and the NCAA promote good sportsmanship by student-athletes,
coaches, and
spectators. We request your cooperation by supporting the participants
and officials in a
positive manner. Profanity, racial or sexist comments, or other intimidating
actions directed
at the officials, student-athletes, coaches, or team representatives will
not be tolerated and
are grounds for removal from the site of competition. Also, consumption
or possession of
alcoholic beverages and tobacco products is prohibited.

Policy
It is the
responsibility of the host institution to provide a competitive environment
that is healthy and safe for athletes, coaches, officials, and spectators
during the entire time the event is held. This period of time begins when
the first participant or spectator arrives and concludes when the last
individual involved with the event departs.
Specific
Requirements
Emergency Plan
An emergency medical
plan must be established and understood by the individual(s) responsible
to supervise the competition.
Insurance
Any required insurance
is the responsibility of the host insitution.
Supervision
The host institution
must designate an individual responsible to oversee the conduct of the
championship that is capable of handling a problem, regardless of which
teams are competing at the time the problem occurs. Specifically, if the
host designates the institutions coach as its representative, the
coach must be prepared to handle problems that occur when his/her team
is competing, or designate someone capable during these instances.
Seating
The host is responsible
for seating the spectators in such a fashion so as not to interfere with
either teams ability to participate in the contest. Dependent upon
the facility, this may require team benches to be placed in areas that
contradict the rulebooks requirement. In such cases, the coaches
and head official should be informed of the decision in advance. Any revision
in seating must ensure that both coaches are able to see the scoring and
timing displays without difficulty.
Locker rooms
The host is responsible
for providing adequate changing areas for teams and officials and to remind
teams of their requirement to use these areas. No deck changing at any
time should be permitted. It is the hosts responsibility along with
the coaches and officials to enforce this policy.
Sportsmanship
Prior to every game,
the host institution will read the NCAA statement on sportsmanship listed
below. If the host institution chooses not to use a Public Address System
for the event, a written copy of this statement must be provided to spectators
upon their entry into the facility.
NCAA Sportsmanship
Statement
The host institution
is responsible for enforcing any departures from the conduct outlined
in the NCAA Sportsmanship Statement as it pertains to the spectators.
The host must have an approved plan to handle incidents requiring the
removal of a spectator or participant should the need arise. This plan
should be proactive, ensuring that incidents do not escalate to the point
where the flow of the competition is interrupted.
Interface with
Officials
During the course
of the game, the officials are responsible for enforcing all departures
from the rules, the code of conduct, and the NCAA Sportsmanship statement
with regards to the players and coaches. The officials have jurisdiction
over the conduct of the spectators, if in their judgment, that conduct
is interfering with their ability to officiate. In the rare instance the
officials would require assistance to remove an athlete, coach, or spectator,
the host is obliged to assist. Once the referees request such assistance,
it then becomes the hosts responsibility to handle the situation
before the competition continues.
Game
Officials
The CWPA office assumes
the responsibility for assigning, arranging accomodations for and payment
of all game officials that work league tournaments. Hosts assume no responsibility
in this area.
